Measuring goals and assessing conditions status in GoalEnvision

Measuring and assessing goals and conditions in GoalEnvision can be done in different ways. We go through all the options.

Measurement with a metric:

A measure in GoalEnvision is an objective ratio or metric that can be number of times per day, kilometres per hour, temperature, or similar. This measure gives an objective indication of how often or how much something occurs. For example, you can use a metric to measure how many times a certain event occurs over a certain period of time.

Example: If you have a goal to increase the number of users on your platform, you can use a metric to measure the number of new users per day.

When you are on the goals and conditions edit page, you will find the details of your metric under the "How we measure success" tab. Here are some steps to set up your metric correctly:

  1. Give the measure a short and clear name that describes the purpose of the measure. For example, if the measure is about sales volume, you can name it 'Sales volume'.

  2. Give the metric a description that explains why the metric is important and how it can be measured. For example, if sales volume is important to evaluate the success of the business, you could describe it as "An indicator of the number of units sold per day".

  3. Specify the unit in which the metric should be measured. For example, if sales volume is measured in number of times per day, you can specify the unit as "Number of times per day".

  4. Enter the number of decimals appropriate for the measure. For example, if the number of times per day can only be an integer, you do not need to enter any decimals. On the other hand, if the metric is "Average temperature", you can enter it with one decimal place.

  5. Specify how often you want to measure the metric. This determines the frequency of updating the result. For example, if you want to measure the sales volume every day, the reporting manager and the target manager will be asked to update the result daily.

  6. Choose whether you want to measure the goal manually or automatically. If you choose manual update, the reporting manager will receive a message to manually record the result. If you choose automatic update, you can link GoalEnvision to another system where the data is retrieved from. Please note that in order to choose automatic update, you need a special subscription from GoalEnvision. Contact us for more information.

  7. Appoint a reporting manager for the measure. You can appoint both a primary responsible and a secondary reporting manager. The secondary manager will receive a message to update the result if the primary manager does not respond within a certain number of days.

By following these steps, you will be able to set up your metric correctly and in a way that suits your needs.

Measured by a questionnaire survey:

A survey is a useful tool to measure and assess the status of strategic goals and conditions. Unlike objective measures, a survey provides a subjective measure based on participants' experiences and opinions.

An example of how a survey can be used is to measure customer satisfaction. By sending out a questionnaire to customers, they can be asked to rate their experience on a scale of 1 to 10.

To set up a survey correctly on the goals and objectives edit page, follow these steps:

  1. Create or select a survey:

  • If you want to use a previously created survey, select the "Select survey" option. If you want to create a new survey, give it an appropriate name.

  • Give the survey a description that recipients will see when the survey is sent to them. Here you can describe the purpose of the survey, who the recipients are and what will happen to the responses.

  • Choose how often you want to send the survey.

  • Select the units to which the survey will be sent. All persons belonging to the units you select will receive the survey.

2. Create or select a survey form:

  • Choose whether you want to create a new survey or use a previously created survey in GoalEnvision.

  • If you want to use a professionally designed survey template from GoalEnvision, select it from the drop-down menu. The templates are sorted by success perspective and purpose, and you can also find external surveys such as NKI (Customer Satisfaction Index) or market research. Selecting a template will automatically fill the survey with statements from the template.

  • Give the survey a name. If you use a template, it is already named.

  • Decide which scale recipients will use to assess the truthfulness of the statements. The recommended scale is usually 4 for most surveys.

  • Fill in the name and possibly a description for each statement in the survey that you want the recipients to judge the truthfulness of.

  • If you create a new survey, you can also reuse previously created statements by clicking on "Select statement".

When you have finished, click "Next" or "Save". If you want to change the order of the statements or edit the survey, you can do so under the "Surveys" tab on the Organisation page.

Measurement through an expert review (conditions only):

In GoalEnvision you can use an expert review to assess the status of different conditions. By asking an expert in the relevant field to assess the veracity of a claim, you can get an indication of whether or not the condition is met. The expert will give either a green, yellow or red light based on their knowledge and experience.

To set up your expert review correctly, follow these steps when you are on the goals and conditions editing page:

  1. Describe the red light criteria: Specify the criteria that must be true for the expert to give a red light to the condition. For example, you can state that if a certain technical component is not installed or working properly, the expert should give a red light.

Example: For the expert to give a red light for a certain technical condition, component X must be installed and working without any problems.

2. Describe the criteria for a yellow light: state the criteria that must be true for the expert to give a yellow light to the premise. A yellow light may indicate that there are some problems or uncertainties that need to be addressed.

Example: For the expert to give a yellow light for a certain technical condition, it may be acceptable that component X is installed, but there may be some minor problems or limitations that need to be addressed.

3. Describe the criteria for a green light: specify the criteria that must be true for the expert to give a green light to the condition. A green light indicates that the condition is fulfilled without any problems or uncertainties.

Example: For the expert to give the green light for a certain technical condition, component X must be installed and working perfectly without any known problems or limitations.

4. Enter the name of the expert: Enter the name of the expert who will give his/her review on the condition. It can be a person with specific knowledge and experience in the field.

5. Assign a secondary expert: If the primary expert does not respond within a certain number of days, it may be useful to have a secondary expert who can update the results. Enter the name of the secondary expert.

By using expert reviews in GoalEnvision, you can get an objective assessment of the status of the condition based on the expert's knowledge and experience. This can help you make informed decisions and address any problems or uncertainties that may affect your goal.

Measurement by self-assessment (growth targets only):

If you have growth targets that are difficult to measure with an objective metric, you can use a self-assessment in GoalEnvision. With self-assessment, you can estimate the degree of goal achievement on a scale from 0 to 100 per cent.

It is important to remember that self-assessment is subjective and can be more open to interpretation than objective measurements. Therefore, it is important to be consistent and clear in your assessment to avoid misunderstandings or confusion.

By using self-assessment in GoalEnvision, you can create a more holistic picture of your targets progress and fulfilment. Remember to regularly update your self-assessment to get a current and realistic picture of target fulfilment.
